POSITION SUMMARY

As an Administrative Professional, you will work independently and employ your experience and knowledge to provide high-level administrative support to our CEO and General Counsel (GC), with some support for executive staff; and provide support with facility management and supervise clerical staff.  We are looking for a professional leader experienced in managing the CEO’s office, familiarity with law office work, plus Board of Director liaison duties.  Facility management will include: sourcing equipment and vendors, engaging and leading some aspects of decisions and needs relative to our facilities, and acting as a trusted agent relative to vendor and labor costs, contracts, and services.  If you’re looking for a position that is more than sitting at a desk—read on!!!

KEY RESPONSIBILITIES and REQUIREMENTS

 
  • Minimum of 5 years of experience supporting CEO and/or other C level Leaders.
  • Highly experienced with Microsoft Suite applications.
  • Familiarity with law office work and environment. 
  • Communicate with polite, courteous, enthusiastic, professional demeanor tone and style.
  • Schedule and maintain multiple calendars to ensure CEO and General Counsel are aware, informed, and have timely engagements.
  • Act as their representative to schedule meetings, appointments, interviews, etc. 
  • Takes the lead on, manages, and provides administrative support to the CEO and General Counsel.
  • Lead on CEO and General Counsel administrative needs and deliverables.
  • Takes the lead on and manages all of the administrative needs and deliverables relative to Board of Directors.
  • Takes and transcribes minutes and provide administrative support meetings and reviews and evaluates all documents for accuracy.
  • Prepares and reviews presentations.
  • Able to organize business files, paperwork, and data. 
  • Maintain legal files and other relevant information in digital databases. 
  • Create, edit, and compile complex, heavily formatted documents.
  • Prepare, review, and edit legal and business documents/communication.
  • Proofread documents for accuracy and completeness.
  • Prepare correspondence, memoranda, and legal and non-legal documents from draft of dictated text.
  • Perform billing/accounting duties for the facilities.
  • Assist with drafting purchasing proposals (RFP, RFI) by translating business requirements into purchasing requests.
  • Maintains a system to ensure executive deadlines are met, safeguards confidential information and maintains document management.
  • Researches, prioritizes, and follows-up on escalated issues/concerns addressed to the executive team, including those of a sensitive and/or confidential nature.
  • Receives and reviews for accuracy and adherences to policies and procedures, all documents for executive level approval and/or signature.
  • Apprises management of executive directives, to include communicating delegated assignments.
  • Oversees the distribution of mail including addressing and directing for proper distribution all incoming, written and oral correspondence.
  • Establishes and maintains effective working relationships and public relations.
  • Communicate with clients, vendors, and donors to gather/deliver necessary documents and information.
  • Support CEO and General Counsel as needed relative to research or data needs.
  • Support CEO’s executive staff with particularly identified processes or systems.

It Would Be Great If You Had

  • Bilingual language skills (Spanish/English)
  • Experience with non-profit administration work
